How to Switch Your IT Provider to Indigo
We do the hard work. You carry on running your business.

Switching IT provider to Indigo Unified Communications takes about two weeks for most businesses. We start with a free technology assessment, then collect passwords and documentation, deal with your old provider directly, deploy our monitoring and security tools, and fix any urgent risks first. Your staff can use our helpdesk from day one, and every ticket gets a first response in under 30 minutes. Phone and mobile numbers are ported so your customers can still reach you.
Why businesses put off switching, and why they don't need to
Most businesses that are unhappy with their IT provider stay longer than they should. The usual reasons are:
- "It'll be disruptive." A well-run handover happens in the background. Your people keep working, and most of the change is invisible to them.
- "Our old provider holds everything." Your passwords, licences, domains and documentation belong to you. We request them on your behalf and chase until we have them.
- "We'll lose our phone numbers." You won't. Numbers are ported to the new service and the switch is scheduled so calls aren't interrupted.
- "We're tied into a contract." We'll check your notice period and end date during the assessment. In most cases we can cover overlap costs or buy out the rest of your old contract, so you don't pay twice.
How switching works: five steps
- Free technology assessment (week 0). We review your IT, security, backups, Microsoft 365, connectivity and phones, and check your current contract terms. You get a written summary of risks, quick wins and costs.
- Plan and give notice (week 0 to 1). We agree a start date, a handover plan and who does what. If you're leaving another provider, we help you give notice and tell you exactly what to ask them for.
- Handover from your old provider (week 1). We collect admin passwords, licence details, domain and DNS access, backup information and network documentation. We deal with your old provider directly, so you don't have to.
- Onboarding (weeks 1 to 2). We document your systems in IT Glue, set up monitoring, virus and ransomware protection, email security and backup, and fix urgent risks first, such as missing multi-factor authentication (a second check when people sign in) or devices without the latest security updates.
- Go live and review (week 2 onwards). Your staff use our helpdesk from day one. After 30 days we hold a review meeting to go through what we found, what we fixed and what comes next.
What we handle, and what we need from you
| We handle | We need from you |
|---|---|
| Requesting passwords, licences and documentation from your old provider | A named contact who can make decisions |
| Deploying monitoring, security and backup tools | Written authority for us to contact your old provider |
| Porting phone and mobile numbers | A copy of your current contract, if you have it |
| Microsoft 365 tenancy and licence changes | A list of staff and the devices they use |
| Documenting your whole setup | 30 minutes with key staff to agree priorities |
| Briefing your staff on how to log tickets |
Switching phones, mobiles and connectivity too
You can move everything to Indigo at once or one service at a time.
- Phone systems. We install your new 8x8, 3CX or Microsoft Teams Phone system alongside your existing phones, so there's no downtime, then arrange for Openreach to port your numbers during the working day. The traditional phone network (PSTN) switches off on 31 January 2027, so many businesses make both changes at once. Hosted telephony →
- Business mobiles. We port your numbers and schedule the switch so staff aren't left without service. We moved Celtic Football Club's staff mobiles from their previous supplier in two days. Business mobiles →
- Connectivity. We manage the new line from order to installation, including Openreach. If a fixed line will take time, a 4G or 5G router can get you online within 2 to 3 working days and stays on as automatic backup. Business connectivity →

Frequently asked questions
How long does it take to switch IT provider?
About two weeks for most businesses. The assessment and planning take a few days, the handover from your old provider takes about a week, and onboarding (documentation, monitoring and security tools) takes another week. Your staff can use Indigo's helpdesk from the first day.
Will switching IT provider disrupt my staff?
Very little. Most of the work happens in the background: collecting documentation, installing monitoring and security software, and reviewing settings. Staff may notice a new support email and number, and occasionally a short restart when a tool is installed. We tell them what to expect before we start.
What if my old IT provider won't cooperate?
Your passwords, licences, domains and data belong to you, not your provider. With your written authority, we request them directly and follow up until we have them. In the rare cases where access can't be handed over, we can usually recover it through Microsoft, the domain registrar or the hardware vendor.
Can I keep my phone and mobile numbers when I switch?
Yes. In almost all cases business phone numbers and mobile numbers can be ported to the new service. We manage the porting process and schedule the switch so calls aren't interrupted.
Can I switch before my current contract ends?
Yes, usually. We check your notice period and end date during the free assessment, and in most cases we can cover overlap costs or buy out the rest of your old contract, so you don't pay twice. We'll confirm exactly what we can cover in your written plan.
How much does it cost to switch to Indigo?
Onboarding is included in our managed IT packages, so there's no separate set-up fee. The free technology assessment has no cost or obligation, and where you're still in contract elsewhere we can usually cover the overlap.
Can I switch just one service, like phones or mobiles?
Yes. You can move IT support, connectivity, phones or mobiles on their own, or bring them together over time. Many clients start with one service and add others later.
