Business Call Recording in Scotland
Record the calls that matter, find them in seconds, and keep them only as long as you need to.

Indigo Unified Communications sets up business call recording on 8x8 and 3CX cloud phone systems for organisations across Glasgow and Scotland. Calls are recorded automatically, stored securely and can be searched and played back by the people you choose. 8x8 also offers Teams-certified compliance recording for Microsoft Teams Phone users, through its partner CallCabinet. We agree with you which calls to record, how callers are told, who can listen and how long recordings are kept, then support it from our Glasgow office.
Why do businesses record calls?
Most businesses record calls for one of four reasons:
- Training. Managers coach from real calls rather than memory.
- Disputes. When a customer and your team remember a call differently, the recording settles it.
- Quality. Hearing how calls are handled shows where call flows or staffing need to change.
- Compliance and safeguarding. Some regulated firms must record certain calls, and charity helplines often record for safeguarding.
Many businesses record only their sales, booking or support lines.
How call recording works on 8x8 and 3CX
| 8x8 | 3CX | |
|---|---|---|
| Recording | Built into the platform, with recording for Microsoft Teams users through CallCabinet | Record calls, then search, play back, download, purge and archive them to remote storage |
| Storage | Hot and cold storage for up to 10 years | Archiving to remote storage you choose |
| Transcripts and summaries | AI post-call summaries, and speech analytics on the higher contact centre tier | Full call transcription, with each speaker identified, in the AI Edition |
| Card payments | 8x8 Secure Pay takes payments without the agent hearing card details | We'll talk you through the options in your review |
Call recording is based on your licence tier and scoped to your requirements. We agree the retention period with you, rather than applying one default. The right platform depends on your whole phone system, not just recording. Compare platforms and pricing →
Is call recording legal in the UK?
Yes, businesses can record calls, but UK data protection law applies because a recording is personal data. This is general guidance, not legal advice. In short:
- Tell people. The Information Commissioner's Office (ICO) says you must tell callers that you're recording and why, and that a recorded message is good practice. Tell your own staff in your privacy information too.
- Have a reason. Record for a clear business purpose, such as evidence of transactions, training or quality. The ICO says it isn't usually proportionate to record the content of every call.
- Don't keep it forever. UK GDPR's storage limitation principle means keeping recordings only as long as you need them, then deleting them.
- Be ready to share. People can ask for recordings of them through a subject access request, so you need to be able to find them.
We set up the greeting, retention period and access controls to match the policy your data protection lead decides.
What about card payments over the phone?
If your team takes card payments by phone, card security rules (PCI DSS) apply to your recordings. The PCI Security Standards Council's guidance says the security code on the back of a card must not be stored after the payment is authorised, even if it's encrypted. If it ends up in a recording, it has to be made unrecoverable.
There are two common approaches. Pause and resume stops the recording while card details are read out, but relies on someone pausing it every time. Keypad masking lets the caller type their card number so the agent and the recording hear only flat tones. 8x8 Secure Pay takes card payments without the agent hearing card details.

Frequently asked questions
Is it legal to record business phone calls in the UK?
Yes. UK businesses can record calls, but data protection law applies because recordings are personal data. The ICO says you must tell callers you're recording and why, and a recorded message is good practice. You also need a clear business purpose, should tell your staff, and should keep recordings only as long as you need them. This is general guidance, not legal advice.
Do I need consent to record calls?
Not always. The key requirement is telling people clearly that the call is recorded and why, usually with a message at the start. You also need a lawful reason under UK GDPR, which many businesses base on a genuine business purpose such as training or evidence of a transaction. If you're unsure which applies to you, check with your data protection lead or adviser.
How long should we keep call recordings?
Only as long as you need them for the reason you recorded them. UK GDPR doesn't set a fixed period, so you decide one, we set it up and it's applied consistently. On 8x8, recordings can be kept in fast-access (hot) and long-term (cold) storage for up to 10 years, and on 3CX they can be archived and purged automatically.
Can we record calls where customers pay by card?
Yes, but the card security code must never be kept in the recording after the payment goes through. You can pause recording while card details are given, or use keypad masking so the recording only hears flat tones. On 8x8, Secure Pay takes card payments without the agent hearing the card details.
Can recorded calls be transcribed automatically?
Yes, depending on your platform and licence. 8x8 offers AI post-call summaries, with speech analytics on its higher contact centre tier. On 3CX, full call transcription with each speaker identified is part of the AI Edition. Transcripts make it quicker to find a call and spot common questions.
